Workspace Admin

If you are a Google Workspace administrator, Drive Toolbox can sync your organization's user directory and use it to enhance auditing capabilities. This lets you distinguish internal users from external ones and audit sharing across your organization.

Setting Up

  1. Sign in with a Workspace admin account
  2. Grant the Workspace Admin scope when prompted
  3. Run a Workspace Sync to import your organization's user directory and organizational units

The sync imports user names, email addresses, and org unit memberships. This data is stored locally in your database — it is not sent to our servers.

What It Enables

Internal vs. External Users

With your user directory synced, Drive Toolbox can identify whether sharing targets are internal (members of your organization) or external. This makes audit filters more meaningful — you can distinguish "shared with a colleague" from "shared with an outsider."

Organization Unit Auditing

If your Workspace uses organizational units (OUs), you can audit sharing patterns by department or team:

  • Which OUs have the most external sharing?
  • Are files in a sensitive OU shared publicly?
  • Which users in a specific OU are sharing with external domains?

Cross-Account Scripts

Scripts can query files across multiple connected accounts. For Workspace admins managing several accounts, this enables organization-wide reporting from a single script run.

Typical Workflow

  1. Sync your Workspace directory
  2. Browse users and org units in the Workspace section
  3. Filter files by sharing patterns involving specific users or groups
  4. Generate reports using scripts that leverage the org directory data
  5. Act on findings — change permissions, revoke access, or transfer ownership
