Personal Filing System
Your Personal Filing System allows you to attach labels and custom metadata to any file in your Google Drive, even if you don't have write access to it.
What Makes It Personal?
These are your own personal details about a file, and they are stored in your own private database - not attached to the file itself. This means:
- Only you can see them - Your personal labels and info fields are completely private
- No Drive permissions needed - Organize any file, even if you only have view access
- Unlimited organization - Add as many labels and custom fields as you need
- Local storage - All metadata is stored in your local database, not in Google Drive
Personal Labels
Personal labels are private tags you can add to any file. Use them to:
- Categorize files by project, priority, or any custom system
- Mark files for follow-up or review
- Create your own filing taxonomy independent of folder structure
Adding Personal Labels
- Select one or more files in the file list
- Click the Apply Labels button in the toolbar
- Type label names or select from existing labels
- Click Apply to add them to your selected files
You can also:
- Right-click a file and select Apply Labels
- Use the expanded metadata panel to manage labels for a single file
- Filter files by label using:
label:"your-label-name"
Personal Info Fields
Personal info fields are custom metadata fields you can define and attach to files. Examples include:
- Project codes - Associate files with internal project IDs
- Review status - Track document review progress
- Custom dates - Record deadlines, milestones, or other important dates
- Reference numbers - Link files to external systems or databases
Creating Info Fields
- Go to Settings → Personal Info Fields
- Click Create New Field
- Enter a field name and select a data type (Text, Number, Date, or Yes/No)
- Click Create
Adding Info to Files
- Select one or more files
- Click Apply Personal Info in the toolbar
- Choose a field and enter values
- Click Apply
